Sound familiar? —

  • We bought Copilot. Nothing changed.
  • Too much of our work is manual.
  • Our people cannot find what they need.
  • SharePoint is a decade of mess.
  • Our systems do not talk to each other.
  • We are not sure what is exposed.

01What Congnivex does

A Microsoft specialist firm, not a generalist consultancy.

Congnivex Systems deploys Microsoft 365 Copilot, builds on Power Platform and Azure, develops enterprise AI agents, designs the experiences people and agents share, and governs the whole estate — for mid-market organisations across Australia, India and the UAE.

We work on one stack, exclusively. That is a commercial constraint we accept deliberately: it means we turn work away, and it means we have seen your edge case before.

Many organisations buy Copilot licences and never see the productivity gain. The licence was never the problem — the missing deployment work was. That gap is what we are hired to close, and to prove closed in numbers your CFO accepts.

02Core services

Seven service lines. Each one a full practice.

Most engagements begin with one line and grow into two or three. Pick the one that is costing you most today.

  • 01

    Start anywhere

Each line stands on its own and begins with a free audit. One is enough to get value from; the rest are there when you need them.

  • 02

    They compound

Governance makes Copilot safe. SharePoint makes retrieval accurate. Integration gives agents something to act on. Experience design makes people actually use it.

  • 03

    One team throughout

The same consultants across every line, so nothing is lost in a handover between practices that do not talk.

03Solutions & products

Products, not bets.

Five products, each built to solve a problem we first met inside a client engagement. None is a guess at a market we have not worked in.

  • Request a demo

    TeamsandTasks

Workforce management native to Microsoft Teams: rosters, shifts, mobile clock-in, manager approvals and AI-assisted scheduling.

  • Request a demo

    M365 Pro Pack

Governance packs, Copilot prompt libraries, Power Automate templates and members-only office hours.

  • Enterprise

    Real Estate AI Copilot

Teams-native broker assistant that drafts listings, qualifies leads and automates WhatsApp follow-up.

  • Enterprise

    Vehicle Access Management

Licence-plate recognition, visitor management and tenant access for free zones and business parks.

  • Enterprise

    Copilot Academy

    Microsoft-only training LMS with role-based paths, a pre-built prompt library and M365 single sign-on.

Neither path is a funnel into the other: consulting clients are never sold a product, and product customers are never upsold consulting.

04Outcomes & how we measure

If we cannot measure it, we have not done it.

Four outcomes, each baselined before anything is built and reported against that baseline every month — including the months where a number did not move.

01 — productivityhrs / week

Hours returned per user, measured against a two-week pre-deployment baseline.

02 — operations% steps cut

Manual steps removed from the target process, counted before and after.

03 — revenueturnaround

Proposal and lead response time, tracked from first touch to sent.

04 — riskexposure

Overshared items remediated and label coverage lifted before go-live.

01 · weeks −2 to 0

Baseline

Two weeks of current-state measurement before anything is built, so improvement is provable rather than asserted.

02 · during build

Instrument

Adoption telemetry, agent usage, process timings and error rates captured as the deployment happens, not bolted on after.

03 · monthly

Report

One dashboard, the same metrics every time, in your tenant. Quarterly business review against the original numbers.

04 · always

Include the misses

If something did not move, it appears in the report. Metrics that only ever show good news are marketing, not measurement.

Our case studies are anonymised and shared on the first call with the client’s permission. We do not publish figures we cannot substantiate — in Australia that carries ACCC exposure, and everywhere it loses the buyer who checks.

05How we work

Four phases, from free call to ongoing care.

Every phase has a defined exit point, including the first one — where the honest answer is sometimes that you do not need us.

  1. 01 · day 0 · free

    Discover

Thirty minutes with a senior consultant who would be on your delivery team. No deck, no pitch. You leave with a next step even if it is not us.

  2. 02 · weeks 1–2

    Plan

A readiness audit of your actual tenant, a prioritised roadmap, and a fixed-price proposal. All three are yours whether you continue or not.

  3. 03 · weeks 3–12

    Deploy

Built in your tenant with your team in the room. Pilot, iterate against real usage, then roll out with training and adoption included.

  4. 04 · ongoing

    Care

Monthly governance, quarterly business reviews, new agents each quarter. Your Microsoft estate keeps improving instead of drifting back to where it started.

We commit to

  • A senior consultant on the first call and on delivery
  • Fixed price agreed before work begins
  • Everything built in your tenant, documented as we go
  • Honest counsel, including when the answer is “don’t”
  • Monthly reporting that includes what did not move
  • A reply inside 24 hours on any working day

We ask of you

  • An executive sponsor who will use the tools visibly
  • Tenant access at the right permission level, early
  • A nominated pilot cohort of 10–30 real users
  • Two hours a week from a technical point of contact
  • Honesty about what has already been tried and failed
  • A decision-maker available at each phase exit
06Industries

The problems change. The stack does not.

We are specialists in Microsoft rather than in any one sector — but these six are where our work concentrates, and each brings its own constraints.

  • Financial services

    01

Approval chains with audit trails, client reporting packs that assemble themselves, and governance strict enough for a regulator to read.

    Constraint — evidence and retention

  • Real estate

    02

Broker productivity, listing generation, lead qualification and WhatsApp follow-up — the work that decides whether a lead converts or cools.

    Constraint — speed of response

  • Government & public sector

    03

Records management, FOI readiness, and Copilot deployments that survive a privacy review rather than stalling in one.

Constraint — data residency and records

  • Professional services

    04

Proposal and document drafting, matter or project knowledge retrieval, and utilisation reporting that does not cost someone a day.

    Constraint — confidentiality between clients

  • Healthcare

    05

Rostering for clinical staff, policy and protocol retrieval, and administrative automation that keeps clinicians away from forms.

Constraint — privacy and clinical safety

  • Logistics & field operations

    06

Mobile inspection apps that work offline, dispatch and job tracking, and integration between systems that were never designed to meet.

Constraint — connectivity and shift work

08Insights

The three questions we are asked most.

Answered here rather than gated behind a form. The full reasoning sits on the relevant service page.

Note 01 · Copilot

Does SharePoint need fixing before Copilot?

Usually, at least the permissions. Copilot inherits your existing access exactly as it stands — it does not widen access, it makes existing access visible. Years of “share with everyone” links mean far more is readable than anyone assumes, and the first uncomfortable answer is what stalls most rollouts. Run the data-exposure review before pilot, remediate the critical findings, and let full modernisation run in parallel.

Note 02 · AI

Should we fine-tune a model, or use RAG?

For nearly every enterprise knowledge problem, RAG. Fine-tuning teaches a model style, format and terminology — it does not reliably teach facts, and it goes stale the moment your documents change. Retrieval keeps knowledge in an index you can update in minutes, with citations users can check. The genuine fine-tuning cases are narrow: consistent structured output, or a vocabulary the base model handles badly.

Note 03 · Integration

Why does integration come before the AI project?

Because an agent that answers questions needs documents, but an agent that does something needs a governed API to do it through. Without an API layer every AI initiative builds its own brittle connection to the same systems. With one, each new agent becomes a policy change on an existing gateway — authenticated, throttled, logged and revocable in one place.

09What clients say

What clients say about working with us.

  • “Congnivex mapped our entire Microsoft estate in two weeks and gave us a roadmap our board could actually approve. Six months on, we are still following it.”

Sarah Chen · Head of Digital Workplace · ASX-listed financial services
  • “We had bought Copilot licences a year before Congnivex arrived and had nothing to show for it. They closed that gap in a single quarter, with numbers our CFO accepted.”

Michael Okafor · IT Director · global professional services firm
  • “One stack, exclusively, was the pitch — and it showed. They had seen our edge case before, in every engagement we brought them.”

Priya Reddy · Chief Operating Officer · Indian manufacturing group
  • “Congnivex is the only partner we have used who turns work away when it is not Microsoft-stack work. That discipline is exactly why we trust their scoping.”

James Whitmore · Director of Technology · UAE government entity
  • “Discover, plan, deploy, care — the four phases sound simple until you see how disciplined the handoffs actually are.”

David Park · GM Digital Transformation · Australian healthcare provider
07Frequently asked

Six questions, direct answers.

The questions every first call starts with.

  • Congnivex Systems is a Microsoft-specialist AI consultancy. We deploy Microsoft 365 Copilot, build on Power Platform and Azure, develop enterprise AI agents and RAG platforms, design the experiences people and agents share, and run governance and compliance audits — for mid-market organisations of roughly 50 to 2,000 seats across Australia, India and the UAE. We also publish five productised tools built out of client engagements.

  • Every service line starts with a free audit or review, and we quote after it rather than from a rate card. We work in three commercial models: a fixed-price scoped sprint, a fixed-price deployment priced against the roadmap that sprint produces, and a monthly care retainer. Scope, seat count and the depth of remediation involved are what move the number. Sprints and deployments are fixed price and the retainer is a flat monthly fee, so your exposure is known before work starts.

  • Thirty days to something live in your own tenant, on most service lines — a Copilot pilot, a first automation, or a working retrieval prototype. Full production typically lands between weeks 8 and 12. We build in your environment from day one rather than demonstrating in a sandbox and migrating later.

  • Yes — with designations across Modern Work, Data & AI, and Digital & App Innovation. Designations are earned on measured delivery performance and certified staff rather than purchased. Co-sell status means eligible projects may qualify for Microsoft partner programmes such as MCI and ECIF, which can include part-funding. We confirm eligibility with Microsoft before we build it into a quote.

  • Financial services, real estate, government, professional services, healthcare and logistics are where our work concentrates, though we are specialists in Microsoft rather than in any one sector. Australia is our headquarters, with a delivery centre in Bengaluru and a presence in Dubai for the GCC market — which keeps a senior consultant on the clock from morning in Sydney to evening in Dubai.

  • Always. We embed for the duration of an engagement, pair with your staff, and document everything so your team can extend and maintain the work afterwards. We are a specialist consultancy, not a replacement for internal capability — and where your team has the capacity to deliver from our plan, we will tell you that rather than quote for it.
